Any early setup is possible depending on availability and only upon request. Please contact Event Services in advance to discuss the possibilities. Are you placing large equipment on the stand? Then check the logistics chapter.

On the first day of the event, no more setup work can be carried out. Only small materials may be placed on the stand this morning via the exhibitor entrance (trolleys) or visitor entrance (without trolleys). All loading doors will remain closed. Activities that could dirty the stand and/or event, such as painting, sawing, etc., are no longer permitted on this day.

Delivery of materials

Delivery/shipment of materials for your stand is only possible during the specified setup and event days. Delivery in advance is not possible. We do not sign for receipt, so please ensure that someone is present to sign for receipt.

Heavy and large equipment on the stand

All equipment larger/wider than 2.5 metres and/or heavier than 2.5 tonnes must always be registered in advance with Event Services. Based on the stand location, Event Services will determine the delivery sequence in a driving-in schedule.

If large equipment is not registered in advance, you risk that it cannot be placed on the stand. Please send the specifications of the equipment, stand name, stand number, and event name to eventservices@easyfairs.com.

Logistic services

Are you looking for a company that can transport your stand materials, machines, etc. to the event location and even directly to your stand? Our logistics partner Valverde specialises in event logistics from A to B and everything that comes with it. Check the options at:

Forklift service

Easyfairs provides free forklift service for deliveries of small materials up to 2 metres and a maximum of 2 tonnes during regular setup and dismantling days (not during possible early setup).
It is not possible to reserve a timeslot for the free forklift service.
On site, you can report to the forklift driver wearing the yellow vest. This service operates on a first-come, first-served basis with the driver. Therefore, you may have to wait until you are assisted.
Delivery of materials larger than 2 metres and heavier than 2.5 tonnes is only possible for a fee and upon prior request to Event Services.

Storage

Reserve storage space for packaging via the webshop.

Access for exhibitors

  • During all event days, the loading doors are closed.
  • During setup, no access passes are required.
  • Stand staff must be registered in advance to gain access during the event.
  • The minimum age during setup is 16 years.
  • Pets, except assistance dogs, are not allowed.

Parking

During setup and dismantling and throughout the event, the parking lot of Events Hall Hardenberg is available. Parking during setup is free of charge. Green vehicles are permitted. Orange vehicles are not permitted. Camping is prohibited at all times in our parking lot.

Exhibitor desk

The exhibitor desk is located at the exhibitor entrance during setup. If you have any questions or comments about your stand or orders, you can go to the exhibitor desk for assistance.

Onsite additional orders

If you wish to place an additional order, you can do so at the exhibitor desk. Please note that not all webshop items can be ordered onsite and that the delivery of all pre-ordered webshop items always takes priority.

Collecting exhibitor badges and vouchers

Avoid long queues. Register your stand staff in advance via My Easyfairs and collect your exhibitor badges, catering vouchers, and parking tickets at the exhibitor reception. Collection of vouchers and badges is possible at the following times:
